Q.
What is a Virtual Marketing Assistant?
A. A Virtual
Marketing Assistant (VMA) is an experienced administrative
professional who works as a contractor. The VMA works with you to
assist in your marketing plans. Your VMA helps to keep you on track and works
with you in your marketing efforts. The only difference is that the VMA works virtually rather than from your office. You communicate via phone, fax, and e-mail.
Q.
What tasks can a VMA do to help me in my
marketing efforts?
A. Your VMA can
provide a number of services for you depending on your marketing
strategies. Here are some samples:
 |
Create and
maintain client contact database |
 |
Research and
contact community organizations for speaking opportunities |
 |
Work with the
group to determine details; assist in follow-up |
 |
Assist in creating
handout materials for speaking engagements |
 |
Prepare and edit
PowerPoint presentations |
 |
Event planning |
 |
Maintain and
update online listings |
 |
Update web content
(assist with writing and/or work with web designer to be sure
content is posted correctly) |
 |
Assist with
mailings |
 |
Coordinate and
track articles submitted |
 |
Draft and
proofread marketing documents |
 |
Assist in
finding/maintaining relationships with local vendors (printers,
seminar locations, promotional supplies, etc.) |
 |
Handle seasonal
events such as client gifts and holiday cards |
 |
Conduct client and
prospective client research |
 |
Other tasks that
you’ve identified in your marketing plan |
Q.
Why wouldn’t I hire a temp to help me?
A. You could hire a
temp, but what happens the next time you need someone? There is no
guarantee that the same temp will be sent to your office. The skills
and abilities of the temps vary, and you will be constantly
re-training. When you work with one of our VMAs, you’ll work with the
same person on a consistent basis. Your VMA gets to know you and your
practice and can be effective almost immediately. Our VMAs have years
of administrative experience and have gone through a screening process
before they’re accepted to work as a VMA.
Q.
I have an in-house assistant that can do
this for me. Why would I work with another assistant?
A. You could work
with an in-house assistant, but will the marketing efforts be at the
top of the priority list? Your good intentions to work on the
marketing may very well be placed at the end of the priority list as
the work for the clients will come first. Your marketing efforts then
get pushed aside as other priorities present themselves. Working with
a VMA whose only priority is your marketing efforts will keep the
marketing of your practice at the top of your priority list. Your VMA
supplements your team and can participate in your marketing meetings
via phone.
Q.
Why would I work with a Virtual
Marketing Assistant when I could just hire an assistant?
A.
Do you have enough work to keep an assistant busy? How much time do
you have to place an ad, interview, and train an assistant? Do you
have the space available for an assistant? And what about:
 |
Benefits–health,
dental, or vision insurance |
 |
Vacation and sick
time |
 |
Employment taxes |
 |
Equipment needed
(desk, computer, software, etc.) |
 |
How easy is it to
sever the employment relationship if it does not work out? |
 |
Time to complete
the forms for the employment taxes |
When you work with a
VMA, you work with a contractor so if the relationship is not a fit,
you can easily switch to another VMA.
